Documents Not Eligible for Library Notarization

While many libraries offer limited notary services, there are important restrictions on what they can notarize. Close Mo Deals (CMD) specializes in handling these restricted and time-sensitive documents through licensed, insured mobile notaries. 

Libraries Typically Cannot Notarize the Following:

 

  • Documents already signed
    Notaries must witness signatures at the time of notarization.
    Exception: Acknowledgments may be signed prior to appearing before a notary.
     
  • Documents not written in English
     
  • Electronic or Remote Online Notarizations (RON)
     
  • Incomplete documents
    Any document containing blank spaces other than the signature and date line.
     
  • Employment & Government Forms
     
  • USCIS Form I-9 (Employment Eligibility Verification)
     
  • Employment eligibility verification documents
     
  • Vital Records
     
  • Birth, death, marriage, or divorce certificates
     
  • Citizenship or naturalization certificates
    Certified copies must be obtained from the county clerk, local registrar, or state vital records office.
     
  • School Records
     
  • Transcripts or student records requiring certification
    Only the school registrar may issue certified copies with a school seal and tamper-proof envelope.
     
  • Government & Military Identification
     
  • Military IDs
     
  • Government Common Access Cards (CAC)
     
  • IRS & Tax Documents
     
  • Certified IRS tax returns or transcripts
    These must be obtained directly from the IRS.
     
  • Real Estate & Property Documents
     
  • Deeds, conveyance documents, mortgages
     
  • Refinances, purchases, sales, and property transfers
     
  • Beneficial interests in land trusts
     
  • Apostilles
     
  • Libraries cannot issue apostilles or authenticate documents for international use.
     
  • Legal & Specialized Documents
     
  • Codicils
     
  • Depositions
     
  • Documents signed under Power of Attorney or by an Executor
    These often require specialized notarial knowledge beyond the scope of free public services.
